What makes a document extensible?
Documents derived from reusable modular content. Customer specific documents that can be delivered to any device/platform. That are easily localized and maintained.
Documents that are always up-to-date and can be easily found.
XDocs CCMS fully supports the creation, management/curation and delivery of extensible documents/content.
The proposition behind DITA was that reusable ‘blocks’ or ‘chunks’ of data called ‘Topics’ could be created and then assembled into a document for publishing. XDocs CCMS fully supports DITA 1.3 which has defined five types of Topic:
- Concept – more objective, the reason why something might need addressing, definitions, rules, and guidelines.
- Task – a procedure that describes how to accomplish a task. It lists a series of steps that users follow to produce an intended outcome.
- Reference – reference material.
- Glossary Entry – used for defining a single sense of a given term, this topic type might also have basic terminology information, along with any acronyms or acronym expansions that may apply to term.
- Troubleshooting – describes a condition that the reader may want to correct, followed by one or more descriptions of its cause and suggested remedies.
When assembling content XDocs CCMS’ ability to connect to other back-office systems such as ERP and PLM applications helps ensure relevant up to date material is available to the technical authors.
Customer Specific Documents that can be delivered to any device/platform
DITA content can be transformed via the DITA Open Toolkit into multiple formats for delivery via print, web or mobile device. XDocs CCMS can extend this capability via Bluestream’s Dynamic Publishing Platform and APIs to deliver customer specific content directly from the database once content is approved to any device/platform.
A fundamental driver for DITA has always been the ability to reduce localization costs by ensuring only Topics that have been updated are sent for translation. The eXtensible ability of XDocs CCMS further enhances the localization process by linking directly to your preferred LSPs (Language Service Providers) and managing all aspects of translation projects including quotation submission and approval.
XDocs CCMS has unrivalled integration with oXygen XML editors allowing users to seamlessly switch between tools and drive projects from within oXygen or XDocs. But it is important that SMEs (Subject Matter Experts) and others within the organization can also contribute to the content lifecycle.
Bluestream have created WEX a web-based module that enables reviewing and contributing of DITA content in the web. The premise behind the application’s development was simple – no training or installation required. For users preferring to use a desktop application XDocs CCMS is also integrated with Simply XML’s Content Mapper application that sits on top of MS Word.
There’s little point in creating content if you cannot find it when you need it. XDocs CCMS has unprecedented metadata management and fully supports the OWL Web Ontology Language making finding the right information quick and simple. Users can also ‘subscribe’ to folders/content and be notified when changes are made.
Accurate and Up to Date
Accurate and up to date information is vital and ensuring only the latest content is available is a default feature of the Dynamic Publishing Platform. XDocs CCMS also supports ‘Time Travel’ so you can instantly see how a Topic or Publication looked on any date or time in the past, you can then run a comparison and see what has changed.
