Metadata Management

With XDocs Extended Metadata Module you have the power to retrieve and deliver your content with precision. With XDocs Extended Metadata Module (EM) you can harvest glossary terms from your DITA content straight into XDocs. Then, the EM Thesaurus will organize the terms according to your classification structure. As a result, you can browse and search through content using terms, and you can also associate non DITA files with the terminology. Workflow

Documentation in Education supporting both specifications and qualifications is highly regulated and consequently needs to be consistently created. Contract specialist staff are often retained to create and review content; these resources need to be notified of tasks and schedules. Using workflow brings the content lifecycle under complete control and lets SMEs outside the team be included in the process. This is achieved without impacting on their main job tasks.

In XDocs workflows are easy to create, configure, and modify. The module uses the BPMN 2.0 industry standard and Activiti workflow engine. Workflow is configured and edited in CM Admin, and the settings carry through all XDocs CCMS components. Workflow task candidates can be set from project roles, from user lists, or from both.

Subject Matter Expert Contribution

SMEs play a vital part in the creation of educational content, but bringing them into the content production process is difficult. Time constraints and a reluctance to learn new software applications has caused push-back against structured content. XDocs CCMS v5.1 introduced WEX – a web app that is used to review, amend and even create DITA content from scratch. This is achieved  without the need for any training.

When WEX is coupled with XDocs Workflow, SMEs can be notified by email when content needs their attention. Clicking on a link takes them to a web page. Here functionality mirroring that found in MS Word will let them accept the content, add notes or suggest changes. The intuitive, easy-to-use interface speeds up the process. Once complete the workflow engine advances the project to the next task, for example notifying the originating author that the review has been completed.

Localization Module (LM)

Qualifications are offered by many companies and organizations, from software certification through to hi-tech machine maintenance. The training resources and assessments must often be delivered in other languages. Bluestream XDocs LM handles the entire localization process. Creating work packets and moving the content cyclically from the source language through translations. Then back into the system and ready to be published for a global market.

Dynamic Delivery Platform (DPP)

It is not enough to deliver just printed documentation. With a growing move to mobile devices PDFs can become a hindrance more than a help. Users want to be able to find answers to their problems quickly, often preferring a self-service portal over long waits on the telephone. Students will often study material on multiple devices; starting on a PC at work, then migrating to mobile device during their commute home.

XDocs DDP delivers DITA content to multiple devices and platforms including websites and self-service portals. Fully customizable, the DDP can be configured for a wide range of solutions. The content comes directly from the XDocs CCMS. This means there are no conversion processes to run and approved content is published instantly.
