XDocs Optional Modules can be added as and when needed to further enhance the core functionality and enable organizations to have a solution shaped to their exact needs.

Metadata Management

As content repositories grow exponentially each year and content reuse grows more complex, content management challenges are also increasing. XDocs Extended Metadata Module provides a system to help you transform content tags into information operatives that help you retrieve and deliver your content with greater precision.

XDocs Extended Metadata Module allows you to harvest glossary terminology from your DITA directly into XDocs. After the harvest, the Extended Metadata Thesaurus can organize the terms according to your classification structure.

Harvested terms can also be used to Browse and Search through content, and you can associate non DITA files with the terminology.

XDocs Localization

Localization is an area where DITA users can make significant cost savings but the process needs to be comprehensively managed.

XDocs streamlines the localization process and gives you dexterity in managing the task files in your project. The diagram below shows a simple workflow process where source content is authored in a source language and is then localized into one or more target languages.  This process scan be iterative as shown by the “Repeat as Necessary” dotted line.

The Localization module generates localization status reports and seamlessly handles content as a project manager moves the content cyclically from the source language through translations and back into the system—localized, link-checked, and ready to be published for a global market.

XDocs can support XLIFF, however XLIFF was originally designed to be the standard format between a Translation Management System and the Translation Workbench used by the translator. Although XLIFF can work between XDocs and a TMS (Translation Management System), it is not always the recommended approach as XLIFF suppresses a lot of useful context from the content.

Advanced and competitive localization processes set-up by DITA aware Language Service Providers rely on raw DITA exchange. Taking advantage of DITA, they provide in context translation and in context review for the In Country SMEs leading to more competitive, more qualitative translations and up to date translation memories.

XDocs Dynamic Delivery Platform

Bluestream’s own Dynamic Delivery Platform lets you take advantage of the underlying metadata in your content and intelligently deliver DITA content to multiple devices and platforms including: websites, self-service portals and online content.

Fully customisable the Dynamic Delivery Platform can be configured for a wide range of solutions such as the Knowledge Base Portal shown below  and the content comes directly from the XDocs CCMS.

Alongside DITA the Knowledge Base can also deliver video and audio content and lets users to filter content by product, version, user type, and more. This makes your content much more accessible and valuable to your customers by increases the usability of your content.

The Dynamic Delivery Platform enables the agile, automated, responsive delivery of approved content directly from your source server to any device or platform in any language. It can be used to create customer self service portals where users can search, browse, find, and share your approved knowledge assets faster and more efficiently in HTML, PDF, eBook, and other formats.

Because the content is coming directly from the XDocs CCMS, approved content can be immediately published online without risk of corruption, whilst increasing the speed of delivery. This tight integration with your content production environment means the Dynamic Delivery Platform blends seamlessly with your content creation, reviewing, management, and localization management tools.

As with all Bluestream products, the Dynamic Delivery Platform has been designed to require the minimum of support from Bluestream or our partners once deployed. It can be easily configured and customised by your own IT or web teams.

Branch, Merge and Release Management

Organizations must be able to respond to rapid developments in their industry and to respond to market needs for product diversification and customization, the demands for up-to-date and accurate documentation have never been greater. XDocs Branch, Merge and Release Management Module provides documentation teams with extensive access to and control over all versions of content.

Organizations have products (which are sometimes services), and the products drive the company in terms of revenue and schedule. The documentation is part of the product; the documentation must also be delivered on time and has an impact on revenue. Since products have multiple releases, so must the documentation have multiple releases.

Release management in a Component Content Management System (CCMS) concerns how to manage the content for different releases of one or more products as time progresses. Release management focuses on addressing the challenges that arise when managing content, for example, for parallel versions of a product, where an organization must maintain support and document versions 7.1, 7.2 and 7.3 while simultaneously developing content for version 8.0.

XDocs Branch, Merge and Release Management provides features for documentation teams to manage content with agility in complex content development environments.

Release Management in XDocs provides your documentation team with the freedom to time travel in content, to fully access and modify content ‘As of’ any date and time, while maintaining historical integrity. Historical integrity means histories cannot be rewritten and the links at any point in history remain intact. Additionally, XDocs also allows you to create and apply labels to mark significant points in the content history.

The XDocs Release Management feature allows you to isolate versions of content at some point in time and register those versions of content on a new branch in the XDocs CCMS. Using the Branch Copy feature, documentation teams can isolate content, so versions of content can be developed in isolation and later the content can be merged or consolidated from branch to branch if desired.

Branch Copy provides options to isolate and relocate content as groups of files or as individually, manually selected files; there are options for branching an entire file set as defined in a project, for branching an entire folder of files as defined in the CMS folder view, and for branching one or more individual files as selected in the Branch Copy User Interface (UI) or the Browse UI.

The Branch Copy feature produces reports on the differences in content on branches, and it allows the  merging, or consolidation, of branches in either direction. The report provides mechanisms that allow you to perform the following actions at the time of the Branch copy:

  • Fix link errors
  • Modify merged and other XML
  • Skip existing, identical content

The Release Management feature is integrated system-wide in XDocs. As you move content to and from branches according to your content management strategy, you can bring your documentation  projects through Integration automated Workflow processes and Localization cycles, apply Extended Metadata, easily locate content across branches using Browse and Search, and publish your content to your preferred output format.

Machine Industry Module

The disconnect between technical documentation and parts databases impacts the effectiveness of technical documentation teams. Companies need documentation that is rich in parts information, but documentation is typically created and updated through systems and processes that are entirely separated from parts databases. When labor intensive manual entry of parts information is required it can result in data integrity issues such as inconsistency, errors, and update issues.

The XDocs Machine Industry (MI) Module provides a parts-aware platform to manage and simplify the complexity of importing parts information into documentation, enabling you to:

    • Capture CAD and BOM data from disparate sources including ERP and PLM systems
    • Automatically combine and link data to facilitate authoring and the generation of documentation including: Illustrated Parts Catalogs, Installation Guides and Troubleshooting Manuals
    • Reuse graphics and BOM assemblies
  • Deliver documentation through the Bluestream Knowledge Base (KB) Portal, third party IPCs, PDFs, and other formats

    • Ingest BOM data and diagrams from PLMs, ERPs, Vendors
    • Structure data into normalized parts database, removing all duplicate parts entries
    • Ensure data consistency and integrity
    • Automate linking between diagrams and related parts tables
    • Scalable to many thousands of assemblies
    • Enable the search and lookup of assemblies
    • Improve and augment imported parts information i.e. hotspots
    • Provide access to parts data when authoring
    • Provide access to parts metadata when tagging topics
  • Enable the automated generation of IPC and IETM
