The XDocs CCMS supports the OASIS DITA 1.3 standard through DTDs and publish processing, including specialization, keys, relationship tables, plugins, conref ranges, subject scheme maps, subject classifications and taxonomies, and glossary objects.
All XDocs repository features (such as link-checking, XML editing, and others) are fully DITA aware.
The DITA Open Toolkit (DITA-OT) is fully integrated in XDocs CCMS.
Storage of Content and Version Control
The XDocs CCMS provides a fully featured repository for the storage of content. Content can contain any kind of data, including DITA, XML, image, video, voice, PDF, Word document, PowerPoint, and more.
XDocs provides robust version control and auditing features. The validity of past versions and their links is maintained through past version link checking and features like “soft” delete. File versions can be viewed and managed in XDocs Explorer. Sophisticated differencing can be done using the plugin Delta XML differencing engine. Options for Diff publishing allow documents to be published back into the CMS, including PDF change bar display.
XDocs also provides a feature for using publishing date labels or Revisions Labels, which allow a map or document to be published as the content was at a particular time and date.
Revision Labels allow a deliverable to be archived and to be imported or published later as a snapshot of the information deliverable from a particular date and time. Consider this use case for revision labels: you are shipping version 4.0 but still have customers on version 3.0. You need to make a change to the 3.0 documentation set. To do this, you export content according to the label that was dated when 3.0 was generally available. Once you export using the label, you can import the content the 3.0 and make changes to it.
XML Editor/Authoring Environment
Users of XDocs CCMS benefit from tight integration with market leading XML Authoring tools such as Oxygen XML Editor/Author. Content developers can easily access files and templates in the XDocs repository while creating and editing content in the editor. The Oxygen XML Editor version is available as a bundled connector with XDocs version 5.0 in a desktop version. Additionally, XDocs provides several options for tools to create and edit XML content. Oxygen XML Author, FrameMaker 12, and XMetaL desktop editing and authoring applications are also tightly integrated with XDocs, and the XMLmind XML Editor (XXE) is bundled with XDocs at no extra charge.
XML Grammar Management
XDocs CCMS is pre-configured for several XML vocabularies, most notably DITA. XDocs CCMS customers, however, are using DITA for other vocabularies, for example DocBook and proprietary XML. XDocs CCMS has a single location for XML grammar files and support for XML catalog files.
Support for DITA based Content Reuse
The XDocs CCMS supports DITA-based content reuse, including the use of conref, conkeyref, and keyref attributes. Through tight integration with XML editors, content creators can access and perform actions (including functions such as creating and inserting @xrefs, @conrefs, @keys, and more) on files in the XDocs CCMS repository directly from the XML editor. In the repository, tight controls can be maintained over reuse objects, such as legal boilerplate, safety statements, admonitions, etc. The CCMS also provides a feature to view incoming links (aka “where used” report) on all files in the repository.
XDocs provides robust link maintenance and management. Once content is in the XDocs repository, links are unbreakable even after copying, moving, or renaming files. All deletes are subject to link checking. Links use an annotated file name approach so the name of the file in the link is visible to give a further cue as to what is linked to. Links are fixed automatically on rename.
Search and Retrieval of Content
XDocs provides a folder system where users can navigate and browse content in the repository through folder structures. While browsing content, lists of files can be viewed in custom columns. All file properties can be added to columns, including any custom file properties added by the user. XDocs also provides a multi-faceted browse feature where users can browse content at the intersection of the two facets, such as folders and metadata.
XDocs provides powerful yet easy-to-use search features, including full-text search, file title and file name search, base metadata search, extended metadata (custom property) search, XPath search, and the ability for organizations to create their own searches and save those searches. Users can access and view their own search histories. XDocs search makes use of wildcards, word/string identification, and regular expressions.
XSL Publishing Engine: XDocs uses Advanced Multi Format Publishing and the DITA Open Toolkit (DITA OT) XSLTs. Using this part of the DITA OT results in larger stability and support from the DITA OT community. XDocs supports publishing content to multiple languages. XDocs ships with version 2.5 of the DITA-OT, which is an intact copy of the toolkit. Additionally, XDocs features Definable Processing Profiles for the conditional processing of variable content, and XDocs uses Definable Presentation Profiles, allowing variations in output presentation to be independent of processing profiles.
The system also has built-in Timeslice publishing labels. XDocs publishes to multiple output formats, such as PDF, HTML, CHM, EPUB, and others; and XDocs publish is integrated numerous third-party publishers. XDocs is fully integrated with Antenna House Formatter for the purposes of generating PDFs. Content can also be delivered directly to the XDocs Knowledge Base to populate content on portals, websites etc.
